How we operate, in writing.
The rules we hold ourselves and our suppliers to — compliance, conduct, quality, safety, data and the terms our quotations are issued under.
Why we publish them
Most trade disputes are not arguments about price. They are arguments about what was agreed. Publishing our policies means the rules are the same before the order as after it, and neither side is working from memory.
What they cover
Seven policies, in force across all five offices and every order we invoice: sanctions and export control, anti-bribery, the supplier code of conduct, quality and inspection, health and safety, data protection, and terms of business.
The seven policies
Each one exists because of something that commonly goes wrong in cross-border trade — and each one is enforceable, not aspirational.
Compliance, sanctions and export control
We check the counterparty, the goods and the destination before we quote — not after the letter of credit is open.
- Counterparty screening against the EU, UK, US (OFAC) and UN consolidated lists before a quotation is issued
- Dual-use and controlled goods identified at specification stage, with the required licences obtained before shipment
- End-use and end-user declarations taken wherever the goods or the destination call for one
- No transaction in or through a jurisdiction we cannot serve lawfully and safely — and we say so in the first reply, not three weeks later
- Export and customs records retained for the period the exporting and importing countries require
Anti-bribery and conflicts of interest
No payment or favour is made to win or keep business. This binds our staff, our agents and anyone acting on our behalf.
- Zero tolerance for bribery, kickbacks and facilitation payments — any amount, any country, no exceptions for local custom
- Commissions and agency fees are contractual, disclosed to the client and invoiced; never informal and never in cash
- Any personal or family interest in a supplier under consideration is declared before that supplier is quoted
- Concerns can be raised directly with management at info@surooh.com.tr and are handled without retaliation
Supplier code of conduct
What a factory has to satisfy before we put its name in front of a buyer.
- Valid trade registration and a licence that actually covers the activity being quoted
- No forced labour, no child labour, and wages and working hours that meet local law
- Safe working conditions and the protective equipment the process requires
- Product, quality and conformity certification appropriate to the destination market
- Honest capacity and lead times — a schedule we can hold the supplier to in writing
- Sub-contracting disclosed in advance, not discovered at inspection
Quality, inspection and claims
Inspection is part of the order, not a line we add later. What gets checked, and what happens when something is wrong.
- Specification agreed in writing before production starts, including tolerances, marking and packing
- Samples approved by the buyer wherever the product allows it
- Pre-shipment inspection whenever value, distance or a first-time supplier justifies it
- Inspection reports and photographs sent to the buyer whatever they show, not only when they pass
- Claims raised with the supplier by us, with the buyer kept informed in writing until the claim is closed
- Where the fault is ours, we say so and we carry the cost
Health, safety and environment
Applies on our own premises, at supplier plants we visit, and on the installation and commissioning work we arrange.
- Site risk assessed before installation, commissioning or heavy-lift work begins
- Contractors working on our orders carry the licences, insurance and competency certificates the job requires
- Dangerous goods classified, packed, marked and documented to the applicable regulations
- Packaging, waste and end-of-life equipment handled to the destination country’s requirements
- Incidents on work we arrange are reported to the client — not absorbed quietly
Data protection and privacy
What we do with the information you send us, and the little this website collects.
- We collect only what an enquiry needs: name, company, email, phone and what you are buying
- Enquiry data is used to source and quote your requirement, and for nothing else
- Specifications, drawings and prices are confidential and go no further than the suppliers quoting your order
- We do not sell contact data and we do not run advertising trackers on this site
- The site sets only the cookies it needs to function and to measure basic traffic
- Write to info@surooh.com.tr to ask what we hold about you, to correct it, or to have it deleted
Terms of business
The basis every quotation is issued on, unless a signed contract says otherwise.
- Quotations are valid for the period stated on them, subject to stock and production capacity at the time of order
- Prices are quoted against a named Incoterm; anything outside it is listed separately rather than assumed
- Lead times run from the later of order confirmation and cleared payment of the agreed instalment
- Title passes on full payment; risk passes according to the agreed Incoterm
- Force majeure, demurrage and route changes are notified as soon as we know, with the cost impact shown
- Turkish law governs and the courts of Istanbul have jurisdiction, unless the contract states otherwise
These policies are reviewed at least once a year, and whenever the law changes in a market we serve. Current version: September 2026. They apply to SUROOH Domestic and Foreign Trade Ltd. and to all five offices trading under it.
Supplier due-diligence — what we can confirm
Buyers, tender bodies and procurement platforms send the same checklist. Here is our answer to every line on it, before you have to ask.
Registering as a supplier now means completing a due-diligence questionnaire: does the company hold a labour standards policy, an anti-corruption clause, a position on conflict minerals. Answering “we will look into it” costs weeks, and sometimes the tender.
Each item below is in force at SUROOH and flows down to the factories we place orders with. Any of them can be issued as a signed PDF on company letterhead, usually the same working day.

Policies we hold
Freedom of association
Workers at our suppliers may organise and bargain collectively, without interference or reprisal from the employer.
Labour standards
One written standard covering wages, contracts, working hours and rest days, applied to every supplier we place an order with.
Forced labour
No bonded, indentured or involuntary labour; no retention of identity documents and no recruitment fees charged to workers.
Child labour
Nobody under the legal working age on a line producing our orders, checked at supplier assessment rather than taken on trust.
Anti-discrimination
Hiring, pay and promotion decided on capability alone — never on sex, origin, religion, age or disability.
Quality management
Specification agreed before production, samples approved where the product allows, and pre-shipment inspection with the report shared whatever it shows.
Environmental management
Packaging, waste and end-of-life equipment handled to the destination country’s requirements, and dangerous goods documented to the applicable regulations.
Health and safety
Site risk assessed before installation or heavy-lift work, protective equipment provided, and contractors carrying the competency certificates the job requires.
Conflict minerals
Tin, tantalum, tungsten and gold sourced through smelters that are not financing armed conflict, with origin declared on request.
Prevention of sexual harassment
A stated standard of conduct, a route to report that does not run through the person complained about, and no retaliation for using it.
Included in our Code of Conduct
Conflict of interest
Any personal or family interest in a supplier under consideration is declared before that supplier is quoted.
Anti-corruption
Zero tolerance for bribery, kickbacks and facilitation payments — any amount, any country, no exception for local custom.
This section summarises the policies set out in full above. Where a buyer needs a specific wording, a signed policy statement or a completed supplier questionnaire, write to info@surooh.com.tr and we will return it on letterhead.
Need one of these on letterhead?
For a tender file, a bank submission or a supplier registration, we will issue any of these policies as a signed PDF on company letterhead — usually the same working day.
